Online Technology Sign Out Form

In an effort to make it easier for teachers to sign out department technology, I have created a basic way the process can be done online.

The process has been used for the past couple weeks in the Language Department to great success. We just now launched the same system here in the Math Department.

The system revolves around one publicly editable Google spreadsheet per department that is setup with tabs for each day, columns for each block, and rows for each items that can be checked out. Here’s what Math Department sheet looks like:

Note: I have been setting up the sheets to be publicly editable. This means that anyone with the link to the sheet can make changes. I have been setting up the sheets this way because:

1) It allows frictionless editing. No one needs to remember a login.

2) The information in the sheets isn’t confidential.

3) The link addresses are impossible to just “stumble across”. They do not come up in Google searches.

That being said, the same system can be set up so that only certain people have access to each spreadsheet. In that case, each person who needs access would need to login to their STJLabs Google account.

On a related note, attendance for clubs has been digitized. Club advisors now use a Google Form to submit their attendance. Here’s what the data submission page of that form looks like:

All of the submitted data goes into a private spreadsheet that is managed by the Office of Campus Life.
